Getting set up
No new data entry. TimerAide reads directly from your existing QuickBooks® company file — your customers, jobs, service items, and employees come with it.
In QuickBooks® Desktop, go to File → Utilities → Export → Timer Lists. This exports an IIF file containing your company identity, customers, jobs, service items, and employees.
Upload the IIF file in the Admin → Import tab. Your full QB list structure loads immediately — no manual re-entry.
Admin invites managers, members, and other admins. Then create Project Combos — pairing customers, jobs, and service items — and assign each user only the projects they bill to. Internal or external, your team sees exactly what they need.
Users track and submit time. Managers approve — locking each entry. Admin exports the CMT IIF file and imports it into QB Desktop as Timer Activities. Done.
The workflow
Team members log time daily or clock in and out. Entries attach to their assigned project combos — no freeform customer typing, no mismatched QB names.
Members submit their entries. Managers review and approve — or return with a note. Managers can approve their own time if their role allows it.
Admin exports approved time to an IIF file for QB Desktop import, or pushes directly via the Web Connector. No re-entry, no copy-paste, no errors.

Security & data ownership
You chose not to move your books to the cloud. We're not going to ask you to trust us blindly with your time data either — so here's exactly how it works.
Row-level security is enforced at the PostgreSQL level — not just in application code. Your organization's rows are never reachable by another org, even in theory.
All traffic between your browser, the application server, and the database is TLS-encrypted. Credentials are bcrypt-hashed — never stored in readable form.
Full database backups run nightly — compressed, encrypted via rclone crypt, and synced to Backblaze B2. Hourly file-level backups on top of that.
Export all your time data as QB IIF files at any time. Every past export is stored and re-downloadable. Your records are in a format QB Desktop has read for 25 years.
Your IIF files continue to work in QuickBooks® Desktop forever — they're a standard file format with no dependency on this service. Every export you've ever run is stored in your account and downloadable. If we ever closed, you'd leave with your complete history in the exact format QB already understands.
